Coop, one of Switzerland’s leading retail and wholesale companies, has successfully modernized its fax communication with Bechtle and Retarus, the EU-based provider of cloud-based solutions which facilitate secure business communication. The Swiss company was aiming to replace its complex, outdated messaging landscape with a future-proof cloud solution. Based on Retarus Cloud Fax, the new fax infrastructure ensures high levels of high levels of reliability, all-encompassing process integration, maximum transparency and reduced operating costs.
Fax technology plays a key role at Coop. For instance, when it comes to communicating with suppliers or sending out time-critical product recalls. The company’s previous fax infrastructure was based on multiple on-premise servers, bound to specific hardware, prone to error, and cost intensive to run. Its growing complexity also meant that maintenance had become complicated and costly, making the system out-of-date and economically unfeasible.
Cloud-based fax solution for modern communication
Retarus Cloud Fax provides Coop with a high degree of flexibility and efficiency. The solution enables error-free, trackable delivery of faxes directly to Microsoft 365 and SAP – without requiring any additional hardware or maintenance. A centralized management portal grants a transparent overview over all fax processes, including automated delivery notifications and detailed reports. The cloud fax solution’s dependable failover management also means that there is virtually no disruption to the availability of the service. This represents a significant improvement over the on-premises solution the company had previously been running.

The solution was implemented in close collaboration between Coop, Bechtle and Retarus – from the conceptualization stage to the proof of concept, right through to the phased migration and into live operations. It is especially noteworthy that seamless integration into Coop’s existing SAP system architecture and Microsoft 365 was achieved without any disruption to ongoing operations. The option to restrict the processing of data to within Switzerland means that data protection and compliance requirements could be fulfilled completely.

Since the service came into operation, it has impressed the company with its remarkable stability. Constant delivery errors and retried sends are a thing of the past. Support efforts have been reduced to a minimum, providing Coop’s IT department with a clear efficiency benefit. In addition, the various departments are profiting from having fixed, predictable operating costs and increased transparency, while also complying with the most intensive data protection requirements.
